Task Completion Heatmap

The Task Completion Heatmap shows, in a single view, which departments have finished their piece of each item and which have not. It reads each department's status for every item from the team's review workflow tool and renders one grid anyone can scan, with no status-chasing required. The heatmap is the main view, backed by an item detail view, a department view with a cross-department comparison, a Data Sources view, and an About view. It is read-only and aggregate, so it reads from a source of record and never performs a review or writes a status back.

Problem

  • Finding which departments had finished their piece of an item usually cost a round of status-chasing for the operations team.
  • Status lived in the review workflow tool but was hard to read across many items and departments at once.
  • Parallel, multi-department progress had no single readable picture for leadership.
  • Cells that could not be read had no honest way to be shown, so items could look done when they were not.

Solution

  • Profiled the review workflow tool as the source of record and defined the completion logic.
  • Designed a read-only pipeline that reads each department's status, normalizes it, and rolls it up without ever writing back.
  • Defined how to show a cell that could not be read, so it reads as Not reported rather than assumed done.
  • Designed the heatmap plus the item, department, and comparison views so progress is easy to scan.

Results

  • Turned parallel, multi-department progress into one grid anyone can scan.
  • Eliminated the round of status-chasing to find where an item stands.
  • Kept the tool read-only, so it never changes a source status.
  • Showed unread cells honestly as Not reported, never counted as done.

What you can explore here

  • The skeletal dashboard below is an interactive prototype that reads a static, pre-baked snapshot of aggregate, sample status data. The heatmap, item detail, department view, Data Sources, and About views are all present. The search and the department, item-type, status, and fully-signed-off filters all work client-side over the inlined snapshot; selecting an item or a department opens its detail. There is no backend, no live integration, no login, and no data collection.
  • Never color alone. Every heatmap cell shows a short symbol (C, P, N/A, ?) in addition to color, and a full status word for assistive technology, and the Not-reported state also carries a distinct pattern. A cell the integration could not read shows as Not reported and is excluded from the complete count, never assumed done.

Skeletal App Demo

Illustrative portfolio demo. An interactive prototype that filters and reads a static, pre-baked snapshot of sample completion status entirely in your browser. There is no backend, no live integration, no login, and no data collection. The Task Completion Heatmap only reads; it never performs a review or changes a status.

Integration

Data Sources and Integration

The Task Completion Heatmap reads each department's status for each item from the review workflow tool. This view is illustrative and read-only; the showcased build reads only a pre-baked snapshot and is not a live connection.

Source
The team's review workflow tool, where departments mark status.
Direction
Read-only. The Task Completion Heatmap never writes a status back.
What is read
Each item, each department, the current status, and when it was set.

If a status cannot be read for a cell, that cell shows Not reported (?) and is excluded from completion, rather than being assumed Complete or Pending.

This view represents how the Task Completion Heatmap reads the source tool. It is illustrative, not a live integration.

About

About the Task Completion Heatmap

What it is

The Task Completion Heatmap reads each department's status for each item from the review workflow tool and renders a heatmap, so anyone can see which departments have completed their piece for each item.

How to read it

Rows are items, columns are departments. Each cell is Complete, Pending, or Not Applicable, shown in text and color, with Not reported for a cell that could not be read. An item is fully signed off only when every applicable department is Complete. Not Applicable departments are not counted.

Completion logic

Per-item completion is Complete over applicable departments. Department completion rate is Complete over applicable items. Not reported cells are excluded from the complete count.

Coverage and limitations

The Task Completion Heatmap does not perform the reviews and never changes a status. Figures are aggregate and operational. A cell that could not be read is shown as Not reported.

Provenance

Reads from the review workflow tool. Last read: [Empty date for skeletal purposes].

Privacy

Aggregate, operational status only. No personal data is present, including who set a status.

Static demonstration snapshot. All items, departments, and statuses are sample data for display only. No live integration.
