Budget Tracking Dashboard

The Budget Tracking Dashboard pulls each program's budget spreadsheet and the finance system of record into one aggregate, weekly model of how every program is tracking against its budget. It opens on a portfolio overview with per-program spend bars, drills from program detail down to subprograms, and tracks progress against quarterly targets, plus a filterable program and subprogram table and an About view. Each program reported its budget differently, so the model standardizes and reconciles those sources into one comparable picture and flags where they disagree. Every figure stays aggregate and program-level or subprogram-level, and each chart carries a data-table alternative so it never relies on color alone.

Problem

  • Leadership constantly asked where the money stood across the whole portfolio.
  • Answering it meant stitching together a separate budget spreadsheet for every program and the finance system of record by hand.
  • Each program reported its budget differently, so the numbers were hard to compare.
  • When sources disagreed, there was no consistent way to flag it, and gaps could show as a misleading zero.
  • Program managers and finance had no browsable view of spend against target across programs.

Solution

  • Combined every program's budget spreadsheet and the finance system of record into one consistent model.
  • Scoped the standardize-and-reconcile step that makes many inconsistent sources comparable.
  • Defined the flag logic that marks where sources disagree.
  • Designed the drill-down from portfolio overview to program to subprograms.

Results

  • Cut the manual, spreadsheet-by-spreadsheet stitching to answer where the money stands.
  • Made programs comparable despite each reporting its budget differently.
  • Flagged disagreeing sources and showed unreconciled values as Not reported, never a misleading zero.
  • Gave leadership a drill-down from the whole portfolio to a single subprogram.

What you can explore here

  • The skeletal dashboard below is an interactive prototype that renders a static, pre-baked snapshot of aggregate, sample program data. The overview, program drill-down, progress-versus-target, and the program and subprogram table are all present, with accessible charts that each carry a data-table alternative and never rely on color alone. The program selector, scope and quarter controls, search, filters, and column sorting all work client-side over the inlined snapshot; there is no backend, no login, and no data collection.
  • Aggregate-only, with honest gaps. Figures are program-level and subprogram-level only. A value that could not be reconciled or refreshed is shown as "Not reported" and flagged "Needs review", never a misleading zero. Status is always shown in text with a supporting icon, never color alone.

There is no backend, no login, no live pipeline, and no data collection. Every figure is aggregate and for display only.

About

About the Budget Tracking Dashboard

What it is

The Budget Tracking Dashboard consolidates each program's budget spreadsheet and the finance system of record into one aggregate model that refreshes weekly, so leadership sees one current view of budget tracking across the portfolio.

How to read it

Allocated budget
The budget assigned to the program for the fiscal year.
Committed
Funds committed or reserved but not yet paid out.
Spent
Actuals paid to date.
Remaining
Allocated budget minus committed minus spent.
Percent spent
Spent divided by allocated budget.
Forecast
A simple pace-based projection of full-year spend.
Quarterly target
The planned cumulative spend at the end of each quarter.

Flag logic

Over budget means committed plus spent exceeds allocated budget, so remaining is negative. Needs review means a subprogram does not roll up within rounding, a weekly refresh is missing or stale, or a figure could not be reconciled.

Coverage and limitations

Figures are aggregate. Values that could not be reconciled or refreshed are shown as Not reported and flagged Needs review. The forecast is a simple pace-based projection.
